Description

The Administrative Director for the Office of Medical Education (OME) is a senior leader and manager responsible for operational and strategic aspects of education at the University of Minnesota Medical School. OME is responsible for the continuum of medical education including admissions to medical school, undergraduate medical education (UME; medical students), graduate medical education (GME; residents and fellows), and continuing professional development (CPD or CME), as well as Mortuary Science and the Anatomy Bequest Program. The Administrative Director is a key member of the OME leadership team who works with other educational leaders to address educational issues and serves as a liaison to all aspects of the Dean’s Office to assure alignment with the medical school mission, policies and procedures. The Administrative Director reports to the Vice Dean for Education and Academic Affairs (VDEAA) who reports to the Dean of the Medical School.

The Administrative Director aids the VDEAA with the broad spectrum of executive responsibilities in support of the Medical School’s mission. This position has four direct reports (Office Manager, two Project Managers, and the Registrar). Specific responsibilities include:

Executive Lead - 40%

  • Serves the key roles of "activator" and "integrator" within OME: operationalizes initiatives, clarifies assignments, anticipates barriers and opportunities, coordinates across teams, ensures alignment with medical school priorities and policies, and proactively seeks better ways to accomplish processes.
  • Oversees all aspects of education strategic operations, including accreditation, human resources, budget, and financial management, facilities and space management, and information technology.
  • Manages directives and projects and serves as a member of committees and cross-functional groups; coordinates agendas for various forums and participates as a member of the VDEAA's leadership group.
  • Administrates learner and faculty medical education development that includes co-directing the summer internship in medical education for medical students, Dean’s Tribute to Excellence in Education, working with other health science schools to plan Best Practices Day in Health Science Education, and managing student, faculty and staff education grants.

Strategic Storytelling and Reputation Management - 20%

  • Identifies, develops, and pioneers strategic educational partnerships across the Medical School, Health Sciences, greater University Community, and affiliated health systems.
  • Supports effective communications related to education with relevant internal and external stakeholders.
  • Creates/contributes to original reports, documents, presentations, and other publications to advance the educational initiatives of the Medical School.
  • Maintains education awards process, distribution, and communications.
  • Works with the medical school advancement team (Communications, University of Minnesota Foundation, alumni relations and government relations) to communicate key initiatives to community stakeholders.

Financial Planning and Budget Oversight - 20%

  • Develops, implements, and maintains sound financial policies, procedures, and practices for OME including the Dean’s tuition allocation model.
  • Conducts financial planning and management for education to ensure successful financial performance and ethical stewardship of University resources.

Operations/Administrative Management - 20%

  • Works with the VDEAA and administrative assistant to manage their calendar, provide background information for meetings, draft letters and presentations, triage assignments, and track progress.
  • Other duties as assigned.


Requirements

Essential qualifications

  • Bachelor's degree plus ten years of experience - seven years of experience at the senior leadership level.
  • Strong managerial and team-building skills, and demonstrated ability to motivate and empower direct and indirect reports to achieve area priorities.
  • Excellent project management skills, attention to detail, and collaboration with senior
  • individuals
  • Demonstrated experience exercising judgment, project planning and goal accomplishment; wide degree of professional maturity and discretion expected.
  • Proven expertise in planning and executing operational plans, managing projects and/or programs and budgets
  • Models inclusive excellence that support a commitment to diversity and equity

Preferred qualifications

  • Graduate degree (MA, MS, Ph.D., etc).
  • Experience in medical education or health sciences education.
